The problem with "we were there"
After a storm, a tenant calls to say the walkway was icy at eight in the morning. The contractor says the crew was there at five. The property manager was not on site at either time. Without records, everyone is relying on memory, and memory is not much help months later when an insurance adjuster or lawyer asks what condition the walkway was in on a particular morning.
A timestamped photo log solves this. Each visit produces photos showing what was cleared and salted, with the time recorded automatically. That turns a disagreement into a quick look at the record.
What a useful photo log shows
Not every photo is useful. A good log for a commercial site should include:
- Each main entrance and the walkway leading to it
- Ramps, steps and landings
- Accessible parking spaces and the access aisles
- Drive lanes and fire routes
- Where snow was piled, showing doors and drains kept clear
- Any problem spots, such as a downspout draining across a walkway
Photos should be taken after the work is finished, from angles that show the surface, not just the building.
Why it matters for slip-and-fall claims
Property owners and managers have responsibilities for the safety of people on their premises, and winter falls are a common source of claims. When a claim comes in, the owner is usually asked to show what was done to keep the area safe. A dated record of clearing and salting at specific times is far stronger than a general statement that the property has a snow contract. This is general information, not legal advice; speak to your insurer or a lawyer about your own situation.
It helps day-to-day management too
Records are not only for disputes. A property manager responsible for several sites can check every location after a storm without driving to each one. A condo board can answer an owner’s complaint with a photo. A business owner can confirm the lot was done before staff arrived. Over a season, the log also shows patterns, such as an entrance that refreezes every night, so the plan can be adjusted.
What to ask your contractor
When you are choosing or renewing a snow contractor, ask directly whether they keep a timestamped photo log every visit, how you can access it and how long they keep it. Ask for a sample from a real site. If the answer is vague, treat that as important information. Our how it works page shows where the photo log fits into our service.
Keeping your own records alongside the contractor’s
The contractor’s photo log works best when the property keeps a few simple records of its own. Together they give a fuller picture of what happened on any given day.
- Keep a copy of the signed contract and the site plan showing priority areas and piling locations
- Log any complaints from tenants, staff or visitors, with the date, time and location
- Note when you contacted the contractor about a problem and when it was fixed
- Save any incident reports, and photograph the area yourself as soon as possible after a reported fall
- Download or save the contractor’s photos for any date where an incident was reported
None of this takes long, but it means that if a question comes up months later, the answer is already organized instead of scattered across phones and email inboxes.

What's included… and what's extra
Commercial snow service is priced per site from paved area, walkway length and opening time. A typical contract includes plowing at the agreed trigger depth, clearing before opening, hand-cleared entrances, sidewalks and ramps, and a timestamped photo log of every visit.
Common extras are quoted separately so you only pay for what the site needs: salting and de-icing per event, extra sidewalk or ramp coverage, after-hours or priority service, and snow relocation when piles run out of room. See commercial snow removal or request a site quote by calling or texting (548) 888-8702.
