Snow Removal for a Property With Multiple Tenants

Multi-tenant commercial properties, from office buildings to mixed-use developments, create a snow removal situation where one plan needs to serve several different businesses with potentially different needs and expectations.

Property management usually owns the relationship with the snow removal contractor on a multi-tenant property, similar to a strip mall. This centralizes the decision-making, but it also means individual tenant concerns need to flow through the property manager rather than tenants contacting the contractor directly.

Fairness across tenants matters for property managers overseeing these arrangements. A contractor should apply a consistent standard to every unit's entrance and adjacent walkway, not favour whichever tenant happens to have the loudest complaints, since inconsistent service creates friction between tenants and management.

Communication protocols are worth establishing clearly at the start of the relationship. Property managers benefit from knowing exactly who to contact for service issues, how quickly they can expect a response, and how tenant complaints get routed and resolved, rather than figuring this out reactively during the first storm.

Map Every Entrance Before the Season

The simplest way to keep service even across tenants is to agree on a site map before the first snowfall. Mark every tenant entrance, rear service door, accessible parking stall, walkway, ramp and set of steps, plus the spots where snow can and cannot be piled. When the map is shared with the property manager, no unit gets skipped because a crew did not know a back door was in use, and tenants can see that their entrance is on the plan.

Marking matters on the ground too. Edges, steps and drains should be staked before the ground freezes so they stay visible under snow. That protects curbs and landscaping, and it keeps drains open so meltwater does not refreeze across a shared walkway.

Set One Standard for Walkways and Doors

Tenants compare notes. If the dentist on the end gets a bare, salted walkway and the shop in the middle gets a narrow path, management hears about it. Write down a single standard: how wide walkways are cleared, which surfaces get salt, and whether entrances are cleared before opening hours. A written standard makes it easy to check work and settle complaints with facts instead of opinions.

Use Photo Records to Answer Tenant Questions

A timestamped photo after every visit gives property managers a quick answer when a tenant says their entrance was missed. You can see when the crew was there and what the site looked like when they left. The same records help if there is ever a slip claim, because they show the site was serviced and when.

Plan for Ice, Not Just Snow

On shared properties, ice causes more trouble than snow. Freezing rain and overnight refreeze can turn a cleared walkway into a hazard by morning. Agree in advance how salt is handled, which areas get priority, and how tenants should report an icy spot. Rock salt works poorly below about -10°C, so ask how the contractor treats ice on very cold days.

Check the Contractor's Paperwork

Before signing, ask for proof of liability insurance and WSIB registration. Thames Valley Snow carries $2,000,000 in liability coverage, is WSIB registered, and is a member of the London Property Management Association (LPMA). Commercial sites are priced individually, and we send a per-site quote within 2 business days.

Who should tenants contact about snow problems?

Usually the property manager. Routing every request through one person keeps the record clean and makes sure the contractor gets clear, consistent instructions.

Can different tenants get different service levels?

It can be done, but it should be written into the plan and the site map so the crew knows exactly which areas get which treatment. Otherwise, one standard for every unit is easier to manage.

What's included… and what's extra

Commercial snow service is priced per site from paved area, walkway length and opening time. A typical contract includes plowing at the agreed trigger depth, clearing before opening, hand-cleared entrances, sidewalks and ramps, and a timestamped photo log of every visit.

Common extras are quoted separately so you only pay for what the site needs: salting and de-icing per event, extra sidewalk or ramp coverage, after-hours or priority service, and snow relocation when piles run out of room.
