Why complaints spike after every storm
Tenants and owners see their property at the worst possible moments: leaving for work at dawn, coming home after dark, stepping out during a storm that has not finished. A walkway that was cleared at four in the morning may have two centimetres of new snow on it by seven. A lot that looks fine at noon may be glazed with ice after the sun goes down. Some complaints are about missed work. Many are about timing and weather. A good process helps you tell the difference quickly.
Set up one channel for reports
Give residents and tenants one clear way to report a snow or ice problem, whether that is an email address, a portal or a phone line. Ask them to include:
- The exact location, such as "north entrance ramp" rather than "the front"
- The date and time they noticed the problem
- A photo if they can safely take one
- Whether anyone slipped or was hurt
Send this information out before winter, along with a short summary of what the snow contract covers and what it does not. Residents who know unit patios or private balconies are not included are less likely to report them as missed.
Check against the contractor’s record
When a complaint comes in, the first step is to compare it with the contractor’s timestamped photo log. If the crew was there at five and the photo shows a clear, salted walkway, the problem is likely new snow or refreeze since the visit. If there is no record for that morning, or the photo shows the area was missed, you know it is a service issue. Either way, you can reply to the tenant with facts instead of guesses.
Act fast on ice and injuries
Some reports cannot wait for the next scheduled visit. An icy ramp, a frozen entrance or a report that someone has fallen should be dealt with right away. Keep a supply of ice melt on site for staff or a superintendent to use, and know how to reach your contractor for a call-back. If someone reports a fall, record the details, photograph the area and save the contractor’s photos for that day. Talk to your insurer about anything beyond that.
Use complaints to improve the plan
Over a season, complaints show patterns. The same side door ices every week. Residents at the far end of the complex keep reporting their walkway was done last. A pile has crept onto a path. Bring these patterns to your contractor and adjust the site plan, the route order or the salting on problem spots. A quick review after the first few storms is often the most useful meeting of the winter.
Close the loop with residents
People are much more patient when they know someone is listening. A short reply saying what you found and what will change goes a long way. For a large building, a brief note after a major storm explaining the timing of service can head off dozens of individual complaints. Our property managers page explains the records we provide to help with this.
It also helps to keep a simple complaint log for each property: date, time, location, what the photo record showed and what was done. At the end of the season, that log is the best information you have for renewing or rewriting the contract.
Get a written quote for your site
Thames Valley Snow provides a timestamped photo log every visit, so property managers can check any complaint against what was actually done. Request a measured price through our quote form, or call or text (548) 888-8702. A written quote usually comes back within 2 business days.
What's included… and what's extra
Commercial snow service is priced per site from paved area, walkway length and opening time. A typical contract includes plowing at the agreed trigger depth, clearing before opening, hand-cleared entrances, sidewalks and ramps, and a timestamped photo log of every visit.
Common extras are quoted separately so you only pay for what the site needs: salting and de-icing per event, extra sidewalk or ramp coverage, after-hours or priority service, and snow relocation when piles run out of room. See commercial snow removal or request a site quote by calling or texting (548) 888-8702.
