How to Avoid Surprise Charges With Your Snow Company

Nothing sours a relationship with a snow removal provider faster than an unexpected charge showing up mid-season. Most surprise fees aren't the result of dishonest pricing, they're the result of unclear communication about what triggers extra costs in the first place. A little upfront diligence prevents almost all of these situations.

Ask specifically about what counts as an extra-large storm surcharge, if your provider has one. Some companies charge a premium during exceptionally heavy snowfalls that require significantly more time and equipment than a typical visit. This isn't unreasonable given the added labour, but it should be disclosed clearly before you sign, not discovered on an invoice after a major storm.

Get clarity on how additional requests get billed too. If you call mid-season asking for an extra visit outside your normal schedule, or request salting on a day it wasn't originally planned, understand whether that's included in your existing agreement or billed as a separate add-on. This is one of the most common sources of confusion between customers and providers.

Understand any equipment or damage-related charges as well. A reputable company won't bill you for normal wear on their own equipment, but ask about their policy if unusual circumstances, like an object hidden under snow, cause damage to their machinery during a routine visit.

Get Every Add-On Priced in Writing

Most surprise charges come from services that were assumed to be included. Before you sign, ask for a written list of what the base price covers and what each extra costs. At Thames Valley Snow the seasonal plan starts at $650, and the add-ons are listed up front: seasonal salting $175, sidewalk clearing $90, walkway and up to 6 steps $175, pet-safe de-icer $120, and a $95 extension if you want coverage outside the main season.

Understand the Trigger Depth

Your contract should say exactly how much snow triggers a visit. Ours is 5 cm. Knowing the trigger avoids confusion about whether a light dusting should have been cleared, and lets you compare plans on equal terms.

Compare Seasonal and Per-Visit Pricing

Per-visit service at $70 a visit can look cheaper, but in a normal London winter the number of visits adds up. A seasonal plan gives you a fixed cost for the season, which is the simplest way to avoid surprises. Doing the math on an average winter before choosing helps.

Keep Records

Timestamped photos of each visit make billing disputes rare, because both sides can see when the property was serviced. We record every visit this way and can share the photos on request.

Ask About Payment Terms Up Front

Surprises are not only about the price. Ask when deposits are due, when the balance is due, and whether instalments are available. Getting the payment schedule in writing alongside the price means there is nothing unexpected when invoices arrive during the season.

Watch for Vague Contract Language

Phrases like "as needed" or "additional services may apply" without a price attached are where most disputes start. If a contract mentions a service, it should also say whether it is included or what it costs. If a provider will not put a price in writing, treat that as a warning sign and keep shopping.
