Monthly Billing for Commercial Snow Removal, Explained

Monthly billing lets a commercial property spread its winter snow cost across the season, which is often easier to fit into an operating budget than a single large invoice.

Why billing terms matter as much as price

When owners compare snow quotes, they usually look at the total. Finance teams, condo treasurers and property managers also care about when the money goes out. A large invoice at the start of the season can strain cash flow, especially for a small business or a condo corporation working from monthly fees. Billing terms are part of the deal, and it is worth discussing them before you sign.

How monthly billing usually works

With a fixed seasonal price, the total for the winter is agreed in the contract and split into equal monthly amounts over the season. With a seasonal price and an event cap, the seasonal portion can be billed monthly, with any events beyond the cap invoiced as they occur. With per-visit pricing, a monthly invoice lists each visit in that month, so the amount changes with the weather. Thames Valley Snow offers monthly billing on request for commercial clients.

Matching billing to your budget

Different organizations budget in different ways:

Tell your contractor how you budget and ask what billing options are available.

What a good monthly invoice shows

A useful invoice is easy to check. It should name the site, the billing period and the contract it relates to. For per-visit or capped contracts, it should list the dates of service so they can be compared with the timestamped photo log. If something extra was done, such as a salt-only visit or snow relocation, it should be shown separately with the agreed rate. Clear invoices save time for everyone at month end.

Questions to settle before signing

Before you sign, confirm the start and end months of billing, the payment terms, how events beyond any cap are billed, and what happens if the agreement ends early. Make sure all of this is in the written contract rather than an email. Our FAQ covers many common billing and contract questions, and our property managers page explains how we work with managed portfolios.

The bottom line

Monthly billing does not change what the service costs over the season; it changes how predictable that cost is from month to month. For many commercial and multi-unit properties, that predictability makes budgeting and approvals much easier. Ask for it when you request your quote so the options can be laid out side by side.

One more point for managers who oversee several properties: ask whether each site can be billed separately under its own contract, even if one contractor serves them all. Separate invoices make it simple to charge costs to the right building, owner or reserve fund, and they make it easier to compare service and cost across properties at the end of the season. It also keeps the records tidy if one property is later sold or changes management, since its winter history and contract stand on their own.

What's included… and what's extra

Commercial snow service is priced per site from paved area, walkway length and opening time. A typical contract includes plowing at the agreed trigger depth, clearing before opening, hand-cleared entrances, sidewalks and ramps, and a timestamped photo log of every visit.

Common extras are quoted separately so you only pay for what the site needs: salting and de-icing per event, extra sidewalk or ramp coverage, after-hours or priority service, and snow relocation when piles run out of room.
